Event Code of Conduct
CCYP's events are designed to spark meaningful conversations, support professional development, and foster personal and community growth. To that end, CCYP is committed to making every gathering an inclusive, welcoming, and harassment-free experience for all. To help ensure this environment, all guests, attendees, speakers, sponsors, and volunteers must agree to abide by the below Event Code of Conduct.
Expected Behavior

Stay calm, open-minded, and positive... even when things don’t go as planned.

We’re all learning. Treat everyone with warmth, consideration, and grace.

Honor people’s time, space, boundaries, and perspectives.

Step Up and Speak Up
Step up when you see someone who could use a hand. If something feels off or uncomfortable, notify an organizer right away.
Ask Questions.
Curiosity builds connection. Ask, listen, and learn.
Prioritize Safety.
Follow all venue guidelines and instructions from staff to ensure a secure environment for yourself and others.
Safety and Security
CCYP is committed to providing a safe environment for all participants. Our events comply with local safety regulations and venue requirements. Event hosts must ensure appropriate security measures are in place, including emergency procedures, clear exit routes, and access to first aid resources when needed.
Reasonable Accommodations
CCYP is committed to ensuring equal access to all our events. We encourage participants to reach out to info@ccyp.org in advance if they require accommodations related to accessibility, dietary restrictions, sensory needs, or other considerations. We will work to proactively to meet these requests whenever possible.
Unacceptable Behavior
To protect all event participants,
the following will not be tolerated:
- Harassment, discrimination, or bullying of any kind
- Intimidating, aggressive, or disruptive behavior
- Hate speech, slurs, or derogatory comments
- Unwanted physical contact or attention
- Excessive intoxication or unsafe conduct
- Damage to property or event materials
- Disregard for stated safety or security procedures
If you experience or witness any of the listed behaviors, please notify an organizer or staff member right away.
Event staff and organizers will take action in order to maintain a safe and respectful environment. Anyone engaging in prohibited behavior may be:
- Given a verbal warning,
- Asked to leave the event immediately (without refund if applicable), and/or
- Barred from future participation in CCYP events.
Media Release & Liability Waiver
We love capturing the energy and connections at CCYP events, and we use photos, videos, and recordings to share our story and inspire others to get involved.
Permissions
By registering for a CCYP event, you're giving CCYP permission to use any photos, videos, or audio recordings that include you (your image, voice, or likeness) for promotional, educational, or organizational purposes. This includes use on our website, social media, newsletters, presentations, and any other platforms now or in the future.
You release the right to inspect, approve, or receive compensation for these materials, and you agree that CCYP isn't liable for any editing, alteration, or context in which the materials are used. You also release CCYP, its staff, volunteers, and any partners involved in producing or distributing these materials from any claims or liability related to how your image or voice is used.
Age Verification
By registering, you confirm that you're 18 or older. If you're under 18, your parent or guardian must consent to this agreement on your behalf.

How do I provide feedback?
We regularly gather feedback from hosts, attendees, and volunteers to help strengthen future programming. Participant feedback helps us refine event formats, identify new ideas, and maintain a consistently positive experience. Hosts and attendees may receive follow-up notes on successes, opportunities for improvement, and alignment with CCYP's values.

What is the cancellation and refund policy?
All requests for cancellations must be submitted in writing prior to the start of the event. Requests must be emailed to info@ccyp.org. Please include the name of the registrant and the name of the event. Each canceled registration over $30 dollars will be assessed a 50% cancellation fee. Registrations under $30 cannot be refunded.
